Microsoft Copilot vs a Custom Office Add-in

By Noman Aslam · Updated 2026-10-07 · 8 min read

Use Microsoft Copilot when each person needs help thinking inside a file they already have open. Build a custom Office add-in when the same task must run the same way for the whole team, against your templates, your data, and your approval rules. Copilot is an assistant in the document. An add-in is a product inside the app your team already lives in.

The split that matters

Copilot is strong when the user can judge the draft. A trainer rewriting speaker notes, a manager summarising a thread, an analyst asking Excel a question about the sheet in front of them. The person is the control.

A custom add-in is the right build when the control has to be the company. The button always uses the same tone guide. The fields always map to the same columns. The draft is saved where the CRM expects it. New staff get the behavior on day one because it is in the ribbon, not in a prompt someone remembered.

Examples from client work

  • An Outlook add-in that drafts and replies in the firm’s tone and cuts drafting time sharply because the context is the open message, not a pasted prompt.
  • A PowerPoint add-in that writes speaker notes from the slide that is open, so trainers stop rebuilding the same notes by hand.
  • An Excel add-in that fills a report from a known export, instead of asking a model to guess the columns.

How to choose before you spend

  1. Write the task as a button name. If you cannot, it is still a prompt, not a product.
  2. List the data the button is allowed to see. If that list is “everything”, stop and narrow it.
  3. Decide who may send or save the result.
  4. Pilot with one team. Measure minutes, not opinions.

Questions this page answers

Is a custom add-in still worth it if we have Copilot?

Yes, when the output has to follow a house format, pull from your systems, or be identical no matter who clicks the button. Copilot is general. An add-in is yours.

Should the add-in be Office.js or VSTO?

Office.js when the add-in should run on the web and on desktop. VSTO with C# when the add-in is Windows desktop only and needs deeper access to the Office object model.

Can an add-in call OpenAI, Claude, or Gemini?

Yes. The add-in collects the selection or the message, sends the allowed context to the model you choose, and writes the result back into Outlook, Word, Excel, or PowerPoint.
